Three ways to translate WhatsApp messages between English and Spanish, and the wording checks that matter when the buyer is in Mexico, Colombia, Argentina or elsewhere in Latin America.

To translate WhatsApp messages from English to Spanish and back, teams use one of three methods: WhatsApp's built-in translation for messages they receive, copy-paste into a separate translator, or automatic two-way translation in a desktop client. The built-in feature reads Spanish for you but does not write your reply in Spanish. For sales chats with Latin American buyers, two-way translation plus a short check of formality, regional words, prices and dates gives the most reliable result.

Method 1: Translate WhatsApp messages with the built-in feature

WhatsApp added message translations in September 2025. A user long-presses a message, taps Translate, chooses the language and downloads the language pack once. Translation runs on the device, and it works in one-to-one chats, groups and Channel updates. Spanish and English are both in the launch set on Android and iPhone, and Android users can switch on automatic translation for a whole chat thread.

What it does well: reading an incoming Spanish message quickly, without leaving WhatsApp.

What it leaves out for sales chats:

  • Replies are not translated. The buyer receives exactly what the rep typed, so the rep still has to produce Spanish.
  • Availability varies. WhatsApp notes the feature is rolling out gradually and may not be available on every device yet.
  • No team setup. Each phone and each account is configured on its own; nothing is shared across a sales team's numbers.

For an individual who mostly reads Spanish and replies in short English, this is enough. For a rep who must reply in Spanish all day, it is half the job.

Method 2: Copy-paste into a separate translator

The fallback most reps start with: copy the Spanish message into a translation website or app, read the English, write a reply in English, translate it into Spanish and paste it back.

Where it works: occasional Spanish conversations, or checking a single tricky sentence.

Where it strains:

  • Each message takes four extra steps, and the context of earlier messages is lost because the translator sees one fragment at a time.
  • It is easy to paste into the wrong chat when several conversations are open.
  • Customer conversations pass through a third-party service, which some companies' data policies restrict.
  • There is no record of which translated wording was approved, so two reps answer the same question differently.

Copy-paste is a reasonable stopgap. It becomes a bottleneck once Spanish chats are a daily workload.

Method 3: Automatic two-way translation in a desktop client

A multi-account desktop client can translate both directions inside the chat. With B2B Chat, incoming Spanish messages are detected automatically and shown in the rep's language, and replies written in English or Chinese are translated into Spanish before sending. Translation covers 200+ languages and takes conversation context into account, which helps with product names and terms that appear across several messages.

This suits teams that:

  • run several company WhatsApp numbers for Mexico, Colombia, Chile or other Spanish-speaking markets in one window;
  • want the same approach for buyers who use Telegram or LINE;
  • need a shared reply library so approved Spanish answers are reused instead of retranslated.

The Latin American customer-service page describes how the client is used for buyers in the region.

Latin American Spanish checks before you send

Machine translation produces grammatical Spanish. Whether it sounds right to a buyer in Guadalajara or Buenos Aires depends on a few choices worth checking.

Usted or tú

Spanish has a formal "you" (usted) and an informal one (tú, and vos in Argentina, Uruguay and parts of Central America). In first business contact across most of Latin America, usted is the safer default. Many buyers switch to tú once a relationship forms; follow the buyer's lead and keep the form consistent within a conversation. In the plural, Latin America uses ustedes for both formal and informal groups, so replies addressed to a buyer's team should use ustedes rather than the Spain-only vosotros.

Regional vocabulary

Everyday words differ between countries. A few that appear in sales chats:

English Mexico Argentina Colombia
Jacket chamarra campera chaqueta
Car carro or coche auto carro
Computer computadora computadora computador
Swimsuit traje de baño malla vestido de baño
To pick up (an order) recoger retirar recoger

When unsure, use the word the buyer used, or choose the neutral term and add the product code.

Prices and currency

The dollar sign is also used for Mexican, Argentine, Colombian and Chilean pesos. Always write the currency code, for example USD 1,250.00 or MXN 1,250.00. Also check number formatting: Mexico usually writes 1,250.50, while Argentina, Colombia and Chile typically write 1.250,50. A translated price with swapped separators can look ten or a thousand times larger.

Dates and times

Latin American buyers read dates day-first, so 03/04 means 3 April, not 4 March. Write the month as a word ("3 de abril") and add the time zone for deadlines, since Mexico City, Bogotá and Buenos Aires are on different offsets from China and from each other.

Sizes and units

Clothing and shoe sizes follow local or US conventions depending on the country. State the size system and give centimetres or kilograms next to inches or pounds.

A review routine for translated Spanish replies

  1. Write the source reply plainly. Short sentences, no idioms, full product names.
  2. Check numbers against the original. Price, currency code, quantity, size and date.
  3. Check the form of address. Usted or tú, consistent with the buyer.
  4. Scan for regional words the buyer might not use, and swap them for the buyer's own term.
  5. Store approved answers. Save reviewed Spanish replies about shipping, payment steps and returns in the reply library.
  6. Escalate when meaning matters most. Disputes, complaints and contract terms go to a colleague who speaks Spanish fluently, with notes in the customer record.

FAQ

Can WhatsApp translate replies from English to Spanish for the buyer?

No. The built-in feature translates received messages on the reader's device. To send Spanish, the rep writes it directly, uses a separate translator, or uses two-way translation in a desktop client.

How can teams choose between usted and tú in WhatsApp sales chats?

Start with usted for first contact in most Latin American markets, then mirror the buyer: if they switch to tú, it is usually fine to follow. Keep the choice consistent within one conversation, and in Argentina or Uruguay expect vos in informal chats.

How can teams avoid price errors when translating to Spanish?

Write the currency code instead of a bare dollar sign, check decimal and thousands separators for the buyer's country, and compare the translated number against the original before sending.

How can a team translate Spanish chats across several WhatsApp numbers?

Run the numbers in a multi-account desktop client with two-way translation, set each rep's working language, and keep approved Spanish answers in the shared reply library so every number uses the same reviewed wording.
